administrative assistant Position

Job Location: Virtual/West Chester, OH 45069

Required education: High School Diploma/GED

Status: Part time to start. The position has the potential to increase in hours based on the performance and growth of candidate.

Compensation: Initially, you will receive a probationary hourly pay of $15 is applied and will be evaluated after the first 45 days.

Work Environment: This position can be virtual or in person. For virtual, you will need to have access to appropriate computer hardware, high speed internet, and a phone that can be used for business purposes.

Experience: High School diploma or GED required. Proven, successful experience of at least one year as an Administrative Assistant, virtual or in-office, simple event planning preferred, experience with electronic health records required and understanding of HIPAA compliance, knowledgeable of Google Suites, Microsoft Office, Canva and Dropbox.

 

Summary Description:

The ideal candidate for administrative assistant will understand that they can be the heartbeat of our agency; the first person our clients may encounter, someone who has heart, who is passionate about serving in a healing environment, and who has the skills and personal qualities of empathy and emotional intelligence. You must have a deep understanding of relationship-based customer service and the value of creating raving fans as clients. A personal interest in or passion for work with the first responder communities is a must.

This role is primarily focused on administrative client engagement. This includes answering phone and email inquiries. In addition, you will be performing general administrative duties that keep our office running efficiently, and you will be responsible for creating and supporting processes that drive effectiveness, and facilitate team communication.  

The ideal candidate for this position will be able to multi-task in a fast-paced environment, work well under pressure and quickly identify, prioritize, and solve problems. We are looking for an enterprising individual, which means the ideal candidate will be ambitious, assertive, extroverted, energetic, confident, and optimistic as well as conscientious.

Primary Position Requirements/Tasks:

 

  • Answering phones, checking faxes and responding to new client and billing inquiries

  • Daily review of incoming emails, prioritize and respond to relevant inquiries, create email templates, block spam, and create labels and tags for easy ongoing management.

  • Manage insurance and records inquiries; verify new client insurance benefits, ensure appropriate releases of information are in place.

  • Collecting clients’ service payments and tracking outstanding balances

  • Maintain contact lists for customer relations management systems; add new clients to CRM list.

  • Maintaining inventory and ordering of new office supplies

  • CAQH and insurance profile review and updates

  • Manage outstanding vendor invoices

  • Manualization of processes: write down procedures and tasks in order to create a complete policies and procedures manual.

  • Ongoing documentation creation and review.

  • Create and maintain database of user ID’s and passwords for practice systems.

  • Dictation and note taking during meetings.

  • Producing materials for in-service presentations and trainings.

  • Creation, Research and collection of articles and other materials for marketing purposes.

  • Review EHR for outstanding progress notes and communicate with owner.

  • Assist in planning and coordination of staff events.

  • Follows confidentiality guidelines ad HIPPA compliance

Mental Health Clinician Position

 

This is an opportunity for a therapist who possesses a trauma-focused niche, who wants to work with adults addressing trauma-related issues, has a passion/curiosity for first responder mental health care, is comfortable working with minimum supervision yet in collaboration with a team, able to market themselves to grow their referral base and recognition in the community as needed or appropriate, who is interested in private practice service delivery without having to deal with the business side of private practice. Hours are flexible and may include evening and weekends. Increased hours will become available as your onboarding process progresses. Status: Part time to start. The position has the potential to grow to full-time based on the performance and growth of candidate. This is a W-2 employee position.

 

Compensation: Clinical/billable hourly rate paid to commensurate with experience. An additional administrative hourly rate is paid for non-clinical time as directed by owner (staff meetings, supervision, etc.). Supervision and consultation provided.

Summary Description: We are seeking a Trauma Therapist (LISW, LPCC, LMFT - can also be a clinician working towards completion of their supervision hours for independent licensure) for a growing Southwest Ohio private practice to offer counseling services to a niche population of first responders and other trauma recovery-focused clients.

Working independently most of the time, the counselor will be responsible for providing comprehensive mental health and interpersonal relationship counseling services to adults who are experiencing cumulative or acute stress, have experienced a traumatic event or developmental trauma.

 

The ideal candidate for this position will be strengths-focused and able to provide client-directed services, has experience working with treatment-reluctant populations, and understands or is willing to learn the neuropsychological implications of trauma and include that in their counseling style.

Primary Position Requirements:

 

Performs initial assessment/intake with clients in person, or by telephone. Completes timely follow-up with clients as necessary.

Completes mental health & bio-psychosocial assessments with clients expressing various issues that may be impacting daily functioning.

Provides diagnosis using DSM-5 criteria where appropriate.

Develop & maintain the therapeutic alliance throughout the counseling relationship, addressing breaches as appropriate.

Develop & implement treatment plans.

Maintains clinical documentation in a timely manner in a computerized system for follow-up regarding clinical services.

Engages in ongoing collaboration with the clinical team.

Adheres to the applicable ethical, therapeutic, and legal standards, which govern service delivery, as well as policies, procedures, and laws, which apply to the organization as appropriate.

Providing in-service and continuing education presentations and trainings to the internal and external audiences.

Undertakes additional tasks, including business development and marketing, as identified through collaboration with the owner.

Requirements:

Skills: Complex trauma informed, empathy, active listening, establishing rapport, reframing, documentation, systems awareness, collaboration, written and verbal communication and public speaking.

 

Experience: Training and experience in trauma-informed modalities (certification preferred). Two + years of post-graduate clinical work preferred.  Success working with minimal supervision in fast paced environment and strong in team collaboration. Lived or clinical experience with first responder population preferred.

 

Attitude/attributes: Positive & friendly, emotionally efficient/resilient, self-aware, compassionate, sense of humor, comfortable with ambiguity and direct communication, ability to adjust to changing issues and environments, independent worker that can collaborate as needed, willingness to learn/teachable, strong awareness of matching therapeutic pacing to the client’s needs, confident in being “vetted” by clients. Results: A minimum of 10 clients with a minimum of 10 sessions per client with trauma recovery as treatment focus.  Completed formal termination process of at 1/3 of caseload with successful completion of treatment plan/impairment resolution.

 

Cognitive: Strong knowledge of psychology of trauma & attachment, competent understanding of therapeutic alliance principles, processes and planning; strong diagnostic skills; commitment to excellence through ongoing professional development.

Habits: Demonstrated commitment to work-life balance; professional appearance, strong systems and organizational skills; timeliness.
